LS Global delivers expert outsourcing services that improve business operations globally. The company is hiring an HRIS Associate on behalf of one of its clients. The position contributes to the administration, reporting, and integrity of the client’s Human Resources Information Systems, primarily UKG. It involves keeping HR systems operational, assisting employee lifecycle activities, addressing system problems, and maintaining precise employee information. In partnership with Human Resources, Payroll, IT, and business leaders, the HRIS Associate helps deliver HR operations, workforce reporting, system enhancements, and ongoing process improvements, while offering high-quality assistance to employees and managers.
Main Responsibilities:
HRIS Administration & Configuration
- Help configure and maintain UKG, covering workflows, business rules, notifications, organizational structures, and security roles.
- Contribute to system improvements, upgrades, integrations, testing, and implementation activities.
- Keep employee and organizational information up to date in UKG.
- Conduct audits to verify system correctness, data integrity, and compliance.
- Maintain documentation for systems, procedures, configurations, and support resources.
- Assist with user-access controls and UAT tasks.
HR Operations Support
- Assist with employee lifecycle transactions, such as hiring, transfers, promotions, compensation changes, leave, and termination.
- Check and process HR transactions for completeness and accuracy.
- Update organizational structures, roles, reporting lines, and employee records.
- Provide support for onboarding, workforce administration, and employee-data changes.
- Track workflows and support HR operational procedures and related documentation.
Reporting & Analytics
- Prepare, maintain, and share both standard and ad hoc HR reports through UKG reporting tools.
- Produce workforce reports and dashboards for HR and business leadership.
- Examine workforce information concerning headcount, turnover, recruitment, attendance, learning, and organizational structure.
- Verify report data and assist with compliance reports, audits, and special initiatives.
- Use data analysis to spot trends and possibilities for process improvement.
HRIS Support & Issue Resolution
- Act as a key contact for UKG-related queries from employees and managers.
- Diagnose and resolve system problems received through email and ticketing systems.
- Look into matters involving employee records, workflows, access, timekeeping, reporting, and system transactions.
- Record solutions, oversee support requests, and escalate complex matters when necessary.
- Recognize repeated issues and suggest improvements to systems or processes.
Records Management & Data Maintenance
- Assist in maintaining electronic personnel files and employee records.
- Ensure employee information remains accurate, complete, and appropriately maintained in UKG and connected systems.
- Support record requests, audits, retention activities, and documentation work.
- Manage confidential employee information in line with company policies and privacy standards.
Data Management & Compliance
- Maintain employee information across HR systems in an accurate, secure, and confidential manner.
- Carry out data-audit, validation, and correction work.
- Help with compliance reporting, audits, and data-governance procedures.
- Adhere to established security and privacy standards.
Government Reporting Support
- Help collect and validate workforce information required for government reporting.
- Assist with EEO-1, VETS-4212, ACA, and other compliance-reporting obligations.
- Review employee demographic and organizational details to ensure they are correct.
- Support audit requests and the preparation of compliance documentation.
Continuous Improvement & Project Support
- Contribute to HR technology projects, UKG upgrades, and process-improvement efforts.
- Recommend ways to improve system efficiency, reporting, and user experience.
- Work with HR, Payroll, Finance, IT, and business teams on system requirements.
- Keep user guides, training resources, and process documentation current.
- Remain updated on UKG changes and support communication, training, and adoption of new features.
Requirements:
- Bachelor’s degree in Business, Information Systems, Data Analytics, Computer Science, or a related field, or equivalent experience.
- 0–2 years of experience in HR, HRIS, reporting, analytics, customer service, or HR operations.
- Strong English communication abilities at C1 level or above.
- Familiarity with HR systems including UKG, Workday, ADP, SAP SuccessFactors, or comparable platforms is preferred.
- Excellent analytical, problem-solving, and data-management abilities, with careful attention to accuracy and confidentiality.
- Proficiency in Microsoft Excel, including formulas, pivot tables, and data analysis; Power BI or other reporting-tool experience is preferred.
- Capacity to handle several priorities, work to deadlines, and support HR operations in a fast-paced setting.
- Familiarity with employee-record management, HR administration, ticketing systems, or workforce reporting is preferred.
- Experience supporting retail, distribution, or multi-location organizations is an advantage.
