Your Responsibilities

• Provide business and personal support to two managing directors.
• Manage calendars and priorities, prepare briefing notes, and ensure schedules remain free of conflicts.
• Handle correspondence in excellent German and confident English within an international setting.
• Organize travel to Germany, Kosovo and other destinations.
• Arrange meetings, draft minutes, maintain task lists, and reliably follow up on actions.
• Turn extensive information into concise summaries ready for decision-making.
• Liaise with internal teams as well as external partners.
• Assist with the managing directors’ personal organizational matters while maintaining strict confidentiality.
• Track deadlines, filing, contracts, and administrative matters.
• Organize visits, guests, and smaller events.
• Carry out independent research and prepare documents in a structured manner.
• Treat all business and personal matters with complete discretion.

Your Profile

• Several years of background as an Executive Assistant, PA to managing directors / board, or in a comparable personal-assistance position.
• Excellent written and spoken German at C1 level or native level is essential, as daily communication with the managing directors takes place in German.
• Strong English skills at B2+, ideally C1, for international coordination.
• Exceptional organizational and prioritization abilities, with the capacity to remain composed under pressure.
• Complete discretion and reliability in both professional and personal matters.
• Confident use of Microsoft 365, including Outlook, Teams, Word, Excel, OneNote, Planner or similar tools.
• Clear, courteous, concise communication and excellent German writing skills.
• An independent and proactive approach to follow-up, with the ability to anticipate needs.
• A professional manner when dealing with executives, clients, and service providers.
• Availability to work CET hours alongside the German management team.
• Experience in an owner-managed mid-market environment is advantageous.
• A driving licence and readiness to travel to Pristina / Germany are advantageous.
