Facility Services and Upkeep: Supervise facility maintenance, administer cleaning and supplier contracts, monitor office-supply stocks, and coordinate waste and toner management.
Site Safety and Compliance: Work with HR and Occupational Risk Prevention to coordinate safety arrangements, inspect security and equipment quarterly, and keep compliance documentation current.
Front Desk and Site Access: Run reception activities, welcome visitors, process incoming and outgoing correspondence, reserve meeting rooms, and provide access badges and keys.
Employee Travel Assistance: Serve as the sole contact for staff travel and accommodation requests, arranging flights and hotel reservations in accordance with company policy.
Budget Administration and HR Assistance: Support purchase-billing checks, petty cash administration, monthly voucher reports, and the logistical arrangements for recruitment interviews.
The qualifications and strengths we seek:
Administrative Background: A diploma or vocational training in Secretarial, Reception, or Office Management, together with experience in administration or general services, is required. Experience in a Contact Center is an advantage.
Digital Proficiency: Intermediate skills in MS Office (Word, Excel, PowerPoint), Google Apps, and professional email correspondence are expected; familiarity with HRIS software is beneficial.
Planning and Attention to Detail: Strong organisational and planning abilities should be paired with a commitment to quality and an analytical approach to solving problems.
Professional Communication: English fluency at C2 level and strong communication skills for working professionally within international teams are required.
