Flex Business Solutions operates from Tirana with an international team that contributes to major construction work across New York’s tri-state area. Its activities include scaffolding, hoists, sidewalk sheds, and associated construction services at some of New York City’s busiest sites.
ABOUT THE ROLE
The company seeks a Timekeeping & Payroll Coordinator for its Payroll department. This role is responsible for the day-to-day review and authorization of crew timecards. As field crews register their arrivals and departures at numerous active sites, the coordinator ensures that each hour is assigned to the appropriate project, supported by suitable records, and approved promptly to maintain accurate payroll and job-costing records.
You will collaborate closely with site supervisors, foremen, project coordinators, and payroll and accounting colleagues. Missing clock entries, incorrect job allocations, and unfinished documentation must be addressed quickly before they result in payroll discrepancies.
Key responsibilities
WHAT YOU WILL DO
- Check daily crew clock-in and clock-out data, matching it with scheduled projects, crew allocations, and site reports.
- Examine timecards for absent punches, repeated records, wrong project or cost codes, overtime, and irregular hours; resolve any differences together with supervisors.
- Liaise each day with field supervisors and foremen to verify which employees worked, at which location, and for what duration.
- Gather, review, and organize records supporting every shift, including attendance sheets, daily reports, leave requests, and amendments.
- Authorize confirmed timecards before payroll cutoffs and raise unresolved matters that cannot be settled within the required timeframe.
- Keep employee timekeeping records current, covering project assignments, work schedules, absences, and approved updates.
- Produce daily and weekly summaries of worked hours, exceptions, attendance, and pending matters for payroll and management.
- Assist the payroll team with checks before payroll processing and respond to employee and supervisor queries concerning hours and timecards.
- Contribute to improving timekeeping practices while ensuring company rules are applied uniformly across all crews.
Qualifications
WHAT WE ARE LOOKING FOR
- Between 1–3 years of background in payroll, timekeeping, HR administration, workforce coordination, or a comparable position; experience in construction or field-based sectors is a significant advantage.
- Excellent spoken and written English, as communication with US-based field teams will take place daily.
- Advanced Microsoft Excel capability and ease of working with payroll or timekeeping systems.
