Description
Flex Business Solutions operates from Tirana with an international team that supports major construction work across New York’s tri-state area. Its Tirana-based staff helps ensure that scaffolding, hoist, and sidewalk shed work at some of New York City’s busiest sites stays on schedule.
ABOUT THE ROLE
The company seeks a well-organized and responsible Project Coordinator to assist projects from initial intake until final completion. This position connects project managers, field supervisors, crews, customers, and office staff, ensuring that schedules are clear, progress is tracked correctly, crews are coordinated, documentation is complete, and follow-up is reliable.
Duties
WHAT YOU WILL DO
- Manage day-to-day project calendars, service scopes, commencement times, crew allocations, permits, deliveries, pickups, and removals.
- Convert requests from project managers into detailed, understandable work orders and follow-up tasks.
- Liaise with project managers, field supervisors, foremen, and crews to verify readiness and communicate adjustments.
- Compare planned work with portal data, crew availability, clock-ins, and completion information.
- Monitor updates including pushes, additions, removals, reassignment, delays, cancellations, and absent details.
- Maintain correct project information, including addresses, contacts, services, dates, times, crew totals, permits, and notes.
- Detect conflicts promptly and raise scheduling, staffing, safety, customer, or equipment concerns before they affect the jobsite.
- Produce daily readiness updates, exception reports, and project-status summaries at the end of each day.
- Maintain a professional approach with customers and internal colleagues while safeguarding confidential company information.
Qualifications
WHAT WE ARE LOOKING FOR
- At least 2 years of experience in construction coordination, field operations, project administration, logistics, or a comparable position.
- Strong organizational skills and consistent follow-through while handling several active jobs and changing priorities.
- Effective English communication, both written and spoken, with office and field personnel.
- Ease in using schedules, project-management systems, and mobile communication tools.
- Capacity to recognize missing information, raise specific questions, and record decisions precisely.
- Ability to remain composed under deadlines and to escalate matters before they impact the jobsite.
- Dependability, careful attention to detail, and adherence to safety procedures.
- Spanish is advantageous but is not mandatory.
