The role
The Compliance Specialist Support position helps the Operations Department keep all properties aligned with relevant federal, state, and local regulations. The role involves supporting compliance processes, keeping records accurate and up to date, organizing inspections, monitoring key deadlines, and assisting with regulatory submissions across a portfolio of residential and mixed-use properties.
Why this role matters
Managing residential and mixed-use real estate in several US jurisdictions requires constant attention to housing codes, agency submissions, inspection schedules, and renewal timelines. A single missed submission can lead to building shutdowns, financial penalties, legal exposure, or the loss of subsidy income. This role is important for identifying issues early, maintaining accurate documentation, and helping ensure that properties stay compliant.
Key Responsibilities
- Keep compliance records well organized, including licenses, permits, certifications, inspection reports, and correspondence with regulators.
- Monitor filing deadlines, renewal dates, and regulatory obligations across the portfolio, and identify risks before they escalate.
- Arrange property inspections related to housing, fire safety, environmental matters, and HQS with agencies, vendors, and on-site teams.
- Support the preparation and filing of regulatory documents with federal, state, and local authorities.
- Stay informed about updates in housing and property regulations and highlight their impact to the Operations team.
- Assist with audits, compliance assessments, and corrective action plans from the initial request through final closure.
- Work with property management, legal, accounting, and operations teams on compliance processes that involve multiple departments.
- Help prepare and maintain compliance policies, checklists, and standard operating procedures.
Qualifications & Skills
Must Have
- Bachelor's degree in Business Administration, Law, Public Administration, or related field (or finalizing studies)
- C1 or C2 English — written and spoken.
- Strong organizational ability, with the capacity to manage multiple tasks without losing track of details.
- Openness to feedback, willingness to ask questions, and comfort with learning new things.
- Ability to work effectively under deadline pressure.
- Good command of Microsoft Office.
Nice to Have
- 0–2 years of experience in compliance, regulatory affairs, property management, legal support, or a similar administrative function.
- Familiarity with US housing regulations, HUD/HQS standards, or local code enforcement procedures.
