The role
Strong administrative support often goes unnoticed: accurate attendance, punctual salary payments, properly maintained contracts, and consistently available supplies are expected. Problems become visible only when these areas fail.
This position ensures that reliability at the Tirana office, covering HR administration, payroll coordination, banking and office operations, employee onboarding and offboarding, and the workplace’s daily functioning. The role also assists junior-role recruitment by interviewing applicants and maintaining an organized candidate pipeline.
Role allocation: approximately 60% HR administration and office management, and approximately 40% recruitment support.
The ideal person acts independently instead of waiting for direction, identifies and improves inefficient procedures, treats confidential salary and employee information discreetly, and can prepare payroll in the morning while conducting a candidate interview later that day without overlooking either responsibility.

Responsibilities
Key duties
HR and office administration
- Take responsibility for daily HR administration at the Tirana office, including attendance, sick leave, and annual leave.
- Manage onboarding and offboarding, including contracts and NDAs, and arrange workplace setup for incoming employees.
- Work with the finance team on monthly payroll and associated banking and financial administration.
- Oversee office supplies, expenses, and administrative procurement.
- Ensure employee and administrative records remain correct and current.
- Organize small team activities, such as birthdays and welcome gestures, to support morale.
- Identify inefficient practices and improve them by creating simpler processes for recurring administrative and HR work.
Recruitment support
- Assist with junior-level recruitment through sourcing, screening, and initial candidate interviews.
Indicators of success
- HR administration and payroll coordination are completed correctly and punctually each month.
- Onboarding and offboarding are handled smoothly and consistently, giving new employees a professional first impression.
- Office activities, including supplies, expenses, and banking administration, operate without unexpected issues.
- Serve as the primary contact for employees and management regarding administrative matters.
- Provide recruitment with a dependable pipeline of assessed junior candidates and a well-maintained database.
Qualifications
Essential requirements (all are mandatory)
- Be based in Tirana or able to work on-site there on a full-time basis.
- Have 2+ years of practical experience in office management, HR administration, or operations.
- Have direct practical experience in payroll coordination and banking/financial administration, rather than only familiarity with these areas.
- Demonstrate working written and spoken proficiency in both Albanian and English.
- Be comfortable handling confidential salary/employee/financial data.
- Be proficient with Excel, Word, Outlook.
Preferred qualifications
- Experience using an HRIS, payroll system, or ATS, with the relevant tool(s) identified.
- Previous recruitment and interviewing experience, particularly for junior positions.
- Experience creating or enhancing administrative or HR workflows and templates.
- Background in a fast-moving office that requires multitasking, such as a startup, agency, or comparable setting.
