Fleet Administration Expert
Role purpose:
The Fleet Administration Expert oversees the daily administration and tracking of the company vehicle fleet. The position ensures that fleet records remain accurate, vehicles are assigned correctly, vehicle use and related spending are monitored efficiently, and fleet, fuel, and company policies are followed. It serves as a coordinating link among HR, Finance, Procurement, vehicle users, and fleet or service providers.
Key responsibilities:
Keep the central fleet database current and complete for every company-owned and leased vehicle.
Maintain details on vehicle assignments, users, departments/teams, contract data, registration, insurance, maintenance status, and other relevant vehicle information.
Ensure that vehicle additions, substitutions, transfers, returns, terminations, and assignment amendments are documented correctly.
Enter all pertinent vehicle activities and changes into the fleet management application.
Record vehicle assignments, reassignments, repairs, maintenance, service expenses, and other fleet activities without delay.
Oversee access to GPS fleet data and ensure vehicle-related details are updated properly.
Assess GPS information to track vehicle use, mileage, and other fleet metrics, producing periodic GPS-based reports and analyses for management.
Manage and coordinate requests concerning vehicle assignment, reassignment, replacement, or changes to vehicle use.
Produce the necessary approval forms and supporting materials for vehicle-assignment changes.
Create and submit Purchase Requisitions (PRs) for fuel procurement in line with approved needs and procurement procedures.
Arrange the issuing, replacement, cancellation, and reassignment of fuel cards as needed.
Where applicable, reconcile fuel data against vehicle assignments, GPS/mileage information, and financial records.
Keep records covering vehicle repairs, preventive maintenance, and servicing activities.
Update the fleet management application with maintenance and repair activities together with their related costs.
Maintain a current penalties database by vehicle/user and follow each case through to resolution.
Work with applicable employees, managers, and external parties to identify and process penalties promptly.
Prepare regular fleet reports on fleet inventory and allocation, vehicle use, GPS/mileage details, fuel usage and expenditure, and repair and maintenance costs.
Education:
(MSc). A university degree in Business Administration, Economics, Finance, Logistics, Engineering, Management, or a comparable discipline is required.
Experience and qualifications:
2–4 years of relevant background in fleet administration, logistics, procurement, finance administration, HR operations, or data/reporting are required. Experience maintaining databases, operational records, and financial/expense data is expected. Prior work with fleet management, GPS systems, or fuel management will be considered an advantage.
Skills:
Technical Skills
Advanced MS Excel capability, including analysis of data, reconciliation, and reporting.
Familiarity with SAP ERP/HRIS or fleet-management applications.
Capacity to use GPS and fleet-monitoring platforms.
Sound knowledge of data precision, documentation, and internal controls.
Core Competencies
Ability to analyze issues and solve problems.
Excellent organization and follow-through abilities.
Ability to oversee several operational activities and deadlines at once.
Effective communication and coordination skills.
Discretion and confidentiality in managing employee and company data.
