MAJOR DEVELOPMENT PROJECT IN ALBANIA – SENIOR ADMINISTRATIVE ASSISTANT TO COO

We are pleased to announce an exciting opportunity to join a major development project in Albania, bringing together luxury residential, hospitality, retail, tourism and commercial developments and creating a premium destination with significant long-term impact on Albania’s tourism and real estate sectors.

With project offices in Tirana, we are currently seeking an experienced and highly organized Senior Administrative Assistant to the COO to provide high-level administrative and operational support and assist with the coordination of activities across the project.

Location: Albania

Expected Start Date: November 2026

Employment: Full-time

Candidates: Albanian & International candidates

Salary: ALL 160K - 170K gross/month

International Candidates: All-inclusive package, including accommodation and transportation

Key Responsibilities

• Provide comprehensive administrative and operational support to the COO.
• Coordinate the COO’s calendar, meetings, appointments and daily priorities.
• Organize internal and external meetings, including agendas, presentations and supporting documentation.
• Prepare reports, presentations, correspondence, meeting minutes and other business documents.
• Coordinate communication between the COO, senior management, project teams, consultants, contractors and external stakeholders.
• Follow up on action points, deadlines and deliverables arising from meetings and ensure timely updates.
• Maintain organized records of project-related documentation, correspondence and administrative matters.
• Assist the COO in monitoring ongoing activities and ensuring that priorities and deadlines are properly followed up.
• Coordinate information and documentation between different departments and project functions.
• Prepare regular updates, summaries and reports for management review.
• Assist with the coordination of business travel, accommodation, transportation and other logistical arrangements.
• Support the organization of presentations, events, meetings and other business activities.
• Conduct research and gather information as requested by the COO.
• Handle sensitive business information with a high level of confidentiality and discretion.
• Proactively identify pending matters, follow up with relevant stakeholders and ensure effective communication.
• Provide general administrative support to the COO and senior management as required.

Candidate Profile

• Proven experience as a Senior Administrative Assistant, Executive Assistant, Office Manager, Administrative Coordinator or similar senior-level administrative position.
• Previous experience supporting a COO, Managing Director, Project Director or senior executive would be highly advantageous.
• Strong organizational and time-management skills.
• Excellent communication and interpersonal skills.
• Ability to coordinate multiple tasks, priorities and stakeholders simultaneously.
• Strong attention to detail and follow-through.
• Excellent written and verbal English, knowledge of additional languages is an advantage.
• Strong proficiency in MS Office, particularly Word, Excel and PowerPoint.
• Professional, proactive and solutions-oriented approach.
• Ability to work independently while coordinating effectively with multiple departments.
• Previous experience in real estate, construction, hospitality, investment, development or large-scale projects would be considered an advantage.
