As the organisation expands, Polaris Group is seeking a dedicated and driven Travel Operations Coordinator to reinforce its Operations Team.
This role is fully remote and can be carried out from home anywhere in Albania.
Your Mission
After the sales team confirms a trip, your role is to make sure it is delivered as a seamless travel experience.
You will oversee each operational aspect, from arranging hotel bookings and communicating with suppliers to assisting travellers throughout their journey. The objective is to ensure that everything is prepared correctly, professionally, and within the required timeframe.
This position suits someone who likes taking responsibility, performs well in a fast-moving setting, and recognises that excellent customer experiences depend on accuracy, dedication, and collaboration.
Your Responsibilities
As a Travel Operations Coordinator, you will:
- Oversee the full operational delivery of tailor-made trips and group travel.
- Arrange hotels, transfers, excursions, rental cars, and other travel-related services across the Balkans.
- Communicate on a daily basis with hotels, guides, transport providers, and local partners.
- Track confirmations, payments, and reservation deadlines.
- Compile travel documentation and operational files.
- Review bookings and verify that all details are accurate.
- Assist travellers before departure and while they are travelling.
- Handle operational issues promptly, calmly, and professionally.
- Cooperate closely with colleagues based in Albania and the Netherlands.
- Share suggestions that enhance quality, efficiency, and customer satisfaction.

Requirements
Education
- Bachelor’s degree (required)
- Master’s degree is an advantage
Experience
- At least two years of experience in tourism, hospitality, or travel operations.
- Background in tailor-made travel or destination management is considered a major advantage.
Languages
- Native Albanian.
- Professional English (spoken and written).
- Additional languages such as Dutch, German, Italian, or French are seen as a strong advantage.
