The Ortus Club operates in B2B marketing, with a focus on knowledge-exchange discussions held both virtually and in person.
Its experienced team delivers around 50 events each month, creating small-scale gatherings for senior executives and thought leaders from a range of sectors. These events foster valuable connections and informed conversations that can lead to innovative commercial relationships, allowing participants to speak openly, exchange best practices, and consider new opportunities.
The company has a young, multicultural workforce of 130 people based around the world, with offices in the Philippines, Italy, and Kosovo.

The Role
Pristina, Kosovo (hybrid), 9 AM - 6 PM CET
As Project Coordinator, you will work with large datasets to find and engage key decision-makers, helping strengthen connections among executive-level professionals.
You will also support the end-to-end planning and delivery of events. This involves working with clients and suppliers to meet all requirements, while coordinating with internal teams so every event component is completed punctually and to a high standard. You will prepare and oversee project plans and schedules, keeping events on track and within budget. Following each event, you will share feedback and analysis with clients and internal teams to highlight improvement opportunities and enhance future events.
Responsibilities:
Coordinate and deliver the logistics and guest-related elements of assigned events, ensuring completion within the agreed timeline and contributing to project success.
Prepare lead lists from project briefs and collect diverse data—including names, email addresses, phone numbers, and job titles—from target accounts through the internal database, LinkedIn, Google, and other appropriate resources.
Develop tailored email invitations for prospective guests based on each project brief, considering the intended audience and adding relevant details that make invitations more compelling.
Contact prospective guests by phone, including through cold calls, using professional language appropriate for senior-level audiences.
Identify, engage, and maintain relationships with prospective moderators, keynote speakers, and industry specialists to safeguard the quality and relevance of sessions.
Work with other departments to improve events on an ongoing basis and deliver a positive, meaningful experience for guests and clients.
Keep records and data accurate while completing project-related administrative work on time.
Create a networking approach for organizing in-person meetings with global decision-makers, including chairmen, CEOs, COOs, and other senior executives; identify relevant individuals and build connections that enable meetings and discussions.
Share post-event feedback and analysis with clients and internal teams, identifying improvements that can make subsequent events more successful.
Qualifications:
A Bachelor’s degree from a leading university.

Fluent English proficiency.
Strong communication and presentation abilities.
Ability to learn quickly, with close attention to detail.
Adaptability across varied environments and unconventional situations.
An outstanding work ethic and high energy level.
