Audit Planning Coordinator
Type: Full-time

Schedule: Mon-Thu, 8:30 to 17:00; Fri, 8:30 to 12:30

As an accredited Certification Body, the company delivers audit and certification services to clients worldwide and is seeking a motivated and dedicated professional to join its team in Prishtina as an Audit Planning Coordinator.

Main Responsibilities
- Enter and maintain client records in the ERP Portal, making sure the database stays correct and current.
- Organize, coordinate, and schedule certification-related activities, including initial, surveillance, recertification, and other required audit types.
- Work with clients to arrange audit logistics and ensure audits are carried out within the required certification timelines and intervals.
- Allocate audit mandates through the ERP Portal.
- Communicate and negotiate with auditors regarding audit assignments and daily audit fees.
- Confirm auditor competence, qualifications, and eligibility before assigning and engaging them for audit work.
- Track upcoming audits and monitor their progress so they are executed and completed on time.
- Start and prepare invoicing details (PCs/invoices) and coordinate the related administrative tasks.
- Adhere to established Standard Operating Procedures (SOPs), internal policies, and relevant operational requirements.
- Carry out any additional duties assigned by Management.
Skills & Requirements
- Bachelor’s degree
- At least 1-2 years of professional experience
- Strong command of English, both written and spoken, is required; knowledge of French, written and spoken, is considered an advantage
- Good business judgment and a positive mindset, with the ability to work independently under minimal supervision
- Excellent written and verbal communication abilities, with confidence in calling and following up with auditors, partners, and clients
- Very good interpersonal abilities
- Strong critical thinking and problem-solving capabilities
- High attention to detail combined with excellent organizational ability
- Strong sense of urgency, along with adaptability, flexibility, and resourcefulness
- Consistently positive attitude with a high level of enthusiasm and initiative
