Job Description
KODE Labs is looking for a full-time Office Manager for its Prishtina office. This role is focused on keeping daily operations running smoothly, fostering a supportive workplace, and assisting the continued growth of the local team.
In this position, you will play a central role in the organization of the Prishtina office by handling administrative processes, coordinating facility-related matters, supporting internal communication, and helping create the best possible setting for the team to perform successfully.
WHAT YOU WILL DO
- Be responsible for the office’s daily functioning so the workplace remains efficient, professional, and welcoming for the team.
- Serve as the main contact for operational questions and workplace issues, responding with understanding and effectiveness.
- Maintain partnerships and negotiate agreements with external vendors, building management, and service providers to ensure the office operates in the best conditions.
- Manage the annual office budget by monitoring operating costs and preparing precise financial reports.
- Create and sustain inventory procedures for office supplies, hardware, and equipment.
- Set up, organize, and maintain company records, administrative processes, and databases.
- Work in close coordination with Human Resources to organize team-building activities, company events, and onboarding.
- Deliver executive-level administrative assistance to leadership.
- Supervise front-desk activities to ensure clients, candidates, and guests are welcomed in a professional and friendly manner.
Requirements
REQUIREMENTS
- Bachelor’s degree in Business Administration, Communications, Management, or a related field.
- Prior experience in a role such as Office Manager, Operations Coordinator, or Executive Assistant.
- Strong organizational and leadership abilities, with demonstrated success in managing and prioritizing complex workflows.
- Advanced knowledge of MS Office (Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides).
- Solid financial understanding, including experience overseeing departmental budgets and operational expenses.
- Excellent problem-solving ability, strong attention to detail, and a proactive approach focused on solutions.
- Professional communication abilities and strong interpersonal skills.
- Fluent written and spoken Albanian and English.
