Job Description: Operations & Sales Representative

Established in 2018, Pollenbee was created after recognizing that small and medium-sized hotels were finding it difficult to manage the growing demands of online distribution. The company’s founders, who come with extensive hospitality industry experience, aimed to develop tools that had traditionally been accessible only to large hotel chains, while making them suitable for properties of all sizes. At present, the company works with more than 100 properties in 15 countries, handles thousands of reservations annually, and supports hoteliers in focusing on their guests.
Job Summary:
The Operations and Sales Representative has an important part in driving the company’s expansion by maintaining client relationships, coordinating operational work, and supporting sales efforts. This role brings together client communication, sales assistance, and operational coordination to help ensure services are delivered effectively to both current and potential clients.
Responsibilities:
- Customer Relationship Management: Engage directly with existing and prospective clients, making sure their needs are addressed and sharing insights gathered from their feedback.
- Account Coordination: Help with onboarding new clients and support the continued administration of customer accounts.
- Support in Sales Meetings: Contribute to presentations and discussions during sales meetings, making certain that key information is communicated clearly and that questions or concerns are handled appropriately.
- Administrative Support: Assist clients in using the PMS and other hotel management systems.
- Managing Operations: Work together with senior management to improve and streamline sales operations.
- Coaching and Mentorship: Offer training and guidance to junior sales support team members so they can strengthen their skills and better understand sales support procedures.
- Sales Pipeline Support: Support the management of sales opportunities by keeping records accurate, following up on leads, and maintaining timely communication.
- Process Improvement: Recognize opportunities to improve operations and customer service, and help apply best practices.
- Reporting and Documentation: Compile reports, update customer records, and make sure that all sales and support activities are documented correctly.
- Meeting Coordination: Arrange and schedule client meetings, product demonstrations, and follow-up sessions, ensuring that everyone involved is properly prepared.
Qualifications:
- Demonstrated experience in sales support or in a comparable position.
- Strong ability to organize work and handle multiple tasks at once.
- Good command of Excel and other MS Office tools.
- Excellent communication and interpersonal abilities, including proficiency in English.
- Capacity to work both independently and collaboratively within a team.
- Strong attention to detail combined with effective problem-solving skills.
- Familiarity with CRM systems.
- Holding a valid driver’s license is considered an advantage.
