Job Description
What are we looking for?
PECB is looking for an Executive Assistant to the COO who will collaborate closely with the Chief Operating Officer (COO) and help drive execution throughout the organization. The position focuses on operational excellence through handling complexity, aligning work between functions, and clearing obstacles so leadership can concentrate on high-value decisions. This is a strategic operations role rather than a conventional administrative post.
About the position
The role requires a high level of autonomy, the ability to foresee needs before they emerge, turn uncertainty into clarity, and consistently deliver outcomes. The selected candidate will take ownership of projects from beginning to end, work across departments, and strengthen the COO’s overall effectiveness.
Main Responsibilities
Executive Support & Coordination
- Oversee the COO’s calendar accurately, with a focus on maximizing time efficiency and cost-effectiveness.
- Get meeting briefs ready, record decisions, and make sure action items are followed through across the organization.
- Examine and process documents that need COO approval, checking them for accuracy and relevance.
- Monitor budgets, timelines, and deliverables tied to executive-level activities.
- Handle sensitive company matters and strategic initiatives with confidentiality.
Project Coordination & Execution:
- Manage operational projects, including process enhancement efforts and initiatives that involve multiple functions.
- Coordinate deliverables between departments, ensuring alignment and helping remove bottlenecks.
- Follow project milestones, push for resolution of blockers, and update leadership on progress.
- Produce operational reports covering partnerships, certifications, payments, and key performance metrics.
- Detect inefficiencies and recommend solutions that can scale across the organization.
Research & Strategic Support:
- Carry out focused research on companies, markets, and operational subjects to support decision-making.
- Turn complex information into clear, practical insights and recommendations.
- Prepare internal reports that keep the executive team updated on progress and developments.
- Represent the COO in meetings when delegated, documenting the main points and helping maintain momentum.
Proactive Problem-Solving & Professional Growth:
- Anticipate potential issues and raise them early together with suggested solutions.
- Work independently while keeping the COO informed and able to stay focused.
- Support task prioritization and reduce distractions to improve executive effectiveness.
- Keep knowledge up to date through educational opportunities, industry-related reading, professional networking, and participation in relevant organizations.
Requirements
- Bachelor's degree
- 3+ years of experience in executive support, operations, project coordination, or related roles
- Excellent written and spoken communication skills in English
- Advanced skills in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with project management or collaboration tools
- Proven ability to manage several priorities at the same time with strong follow-through
- Strong attention to detail, along with demonstrated organizational and time-management skills
- Professional maturity and emotional intelligence when dealing with sensitive situations
- Ability to work independently, anticipate needs, and show initiative without constant supervision
- Experience supporting C-level executives in fast-paced environments
- A record of leading or contributing to operational projects
- Familiarity with certification, quality management, or training industries
- Experience working in an international or multicultural environment
