Key Responsibilities
Client Invoicing & Progress Billing
- Prepare and issue invoices to clients in line with contract terms and project milestones.
- Build and maintain a Schedule of Values (SOV) for each project; update as scope changes.
- Manage situations and requisitions (AIA Billing), ensuring values are accurate, supported, and approved.
- Coordinate progress invoicing with project management to align billing with executed work.
- Track retention, change orders, and contract amendments.
Project Coordination
- Work closely with project managers to align billing with progress and milestones.
- Reconcile billed vs. completed work and flag discrepancies early.
- Support cost-to-complete reviews and forecast updates.
- Liaise with clients on invoice queries and payment follow-ups.
Rental & Equipment Management
- Manage rental contracts and ensure correct allocation of rental costs to projects.
- Track rental periods, returns, and associated charges.
- Maintain accurate records of rented equipment and recurring costs.
Project Income Analytics & Reporting
- Produce project income analyticals showing revenue, cost, and margin per project.
- Prepare periodic reports for management on project financial performance.
- Support month-end and year-end project closings.
- Identify trends, risks, and opportunities for improvement.
General Project Accounting
- Maintain accurate, up-to-date project accounting records and supporting documentation.
- Ensure compliance with internal accounting policies and external regulations.
- Reconcile project accounts and resolve discrepancies.
Key Skills & Competencies
- Solid understanding of project accounting fundamentals (Schedule of Values, requisitions, situations, progress billing, retention).
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- High attention to detail and a careful, accurate approach to numbers.
- Strong Excel skills and comfort with accounting / ERP software.
- Ability to read contracts and translate scope into clean, defensible billing.
- Excellent communication skills, written and verbal — good English (Albanian is a strong plus).
- Ability to work independently as well as collaboratively across teams.
- High level of discretion and confidentiality in handling financial information.
- Proactive, reliable, and solution-oriented mindset.
- Experience in construction, engineering, real estate, or similar project-based industries is a strong plus.
