Job Title: Reservations & Group Sales Coordinator

Short Description: We're hiring for the position of Reservations & Group Sales Coordinator. This person is responsible for managing individual and group reservations, conducting proactive outreach to potential clients, coordinating group bookings and events, and fulfilling concierge requests. This role blends sales, guest service, and event coordination, ensuring a seamless and personalized experience from the first call to the final checkout.

Key Responsibilities:

  • Reservations & Guest Services:
    • Handle inbound calls, emails, and online inquiries for room and suite reservations.
    • Accurately input and manage reservations in the property management system.
    • Provide detailed information about room types, packages, amenities, and promotions.
    • Respond to concierge-style requests, such as arranging transportation, dining reservations, local activity recommendations, and special requests.
  • Outbound Sales & Outreach:
    • Conduct outbound calls to past guests, corporate accounts, and prospective group clients.
    • Follow up on leads from marketing campaigns, networking events, and referrals.
    • Present tailored proposals for group accommodations, meetings, weddings, and special events.
  • Group Sales & Coordination:
    • Serve as the main point of contact for group bookings from inquiry to departure.
    • Coordinate with internal departments (banquets, catering, housekeeping, front desk) to ensure flawless group execution.
    • Prepare and manage contracts, rooming lists, and payment schedules.
    • Conduct pre-arrival planning calls and post-event follow-ups.
  • Administration & Reporting:
    • Maintain accurate records of all reservations and sales activities in CRM and PMS systems.
    • Track performance against sales goals and reservation targets.
    • Provide weekly updates to management on leads, bookings, and conversion rates.

Requirements:

  • Minimum 2 years of experience in hotel reservations, sales, or event coordination (hospitality experience strongly preferred).
  • English Language (bilingual or almost-native). This is extremely important.
  • Strong phone and written communication skills with a warm, professional demeanor.
  • Proven ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Proficiency in reservation systems (e.g., Opera, RoomKey, or similar) and Microsoft Office Suite.
  • Sales-driven mindset with a commitment to delivering exceptional guest service.
  • Knowledge of local attractions, dining, and entertainment is a plus.
