Bid Coordinator
Overview:
We are seeking an organized and proactive Bid Coordinator to support operations by maintaining communication with clients and contractors, managing documentation, assisting with billing and procurement, and coordinating project-related information.
Key Responsibilities:
- Client & Contractor Communication: Make professional calls to request bids, follow up on project status, and maintain clear communication via phone and email
- Prequalification & Documentation: Assist with prequalification submissions and maintain compliance documents, licenses, and insurance
- Billing & Procurement Support: Prepare invoices, pay applications, and billing packages; coordinate with suppliers for quotes and track deliveries
- Project & Office Coordination: Organize project files and schedules, support estimating and project management teams, and perform general administrative duties
Qualifications:
- Bachelor’s degree in Business, Management, Administrative Studies, Communications, or related field
- Excellent English communication skills, both verbal and written
- Proficiency in Microsoft Office (Excel, Word, Outlook) and document management tools Strong organizational, problem-solving, and time-management abilities Detail-oriented with billing, procurement, and documentation experience Professional and confident in interactions with contractors, suppliers, and internal teams Experience in construction or painting industries is a plus
Work Schedule:
2:00 PM – 10:00 PM, in-office
