We are seeking a dependable Administrative Assistant to handle a broad range of administrative and clerical duties. This role supports managers and staff with everyday office needs and helps oversee general administrative operations.

The overall purpose of the post

In this position, the Administrative Assistant is expected to coordinate meetings, prepare reports, and keep filing systems well organized. The preferred candidate should communicate very well in ENGLISH, both verbally and in writing, and should be comfortable using tools such as MS Excel and standard office equipment. Prior experience in an Administrative Assistant role is considered beneficial.

The person selected for this role should contribute to the effective and uninterrupted daily functioning of the office.

Main task and responsibilities

  • Document & File Management: Keep digital records in order using Dropbox, monitor invoices and payments, and manage project documentation such as proposals, change orders, AIA forms, and reports.
  • Project & Office Support: Help follow job progress, bids, inventory, and equipment/tools, while keeping project spreadsheets regularly updated.
  • Communication & Scheduling: Prepare and send emails, letters, and internal documentation, and coordinate meetings and calendars through Microsoft Outlook.
  • Purchasing & Expense Tracking: Support the organization of receipts and invoices related to materials, subcontractors, and suppliers, and assist with expense and inventory reporting.
  • General Admin Support: Provide ongoing administrative assistance to maintain efficient office operations and work closely with the team whenever needed.

Qualifications & Skills

  • A Bachelor’s degree is preferred.
  • Strong command of English in both written and spoken form is required.
  • Previous practical training on the job is an advantage.
  • Ability to work both independently and as part of a team.
  • Very good written and verbal interpersonal communication skills.
  • Strong critical thinking, analytical, and organizational skills.
  • Good time-management abilities.

Work Hours: Regular working hours are from 1:00 PM to 9:00 PM.
